Larry,
Thank you for the thorough response. Honestly, I will have to talk to my
manager if we have specific retention requirements and who in the agency it
applies to and for how long. My guess is we will decide all of that during
that discussion, or set up a broader meeting to discuss.

Hi Mike:.
Nothing I say here is meant to offer any advice, legal or otherwise. The
following are simply points for you to consider. If in doubt, consult an
attorney familiar with your industry in your region/country/state. No
specific or generic answer will apply, even to companies in the same
industry in the same jurisdiction.
A few decision points for you to consider might be:
Do you archive your email to guarantee retention? Are the archives
available regardless of the status of the account they were originally
attached to?
Will the employee be replaced in the same job? Is the history relevant. If
yes, rename the account and carry on. If not, consider archiving or
deleting the account and the old mail.
Are the messages sensitive to the history of the organization? Is there any
chance litigation may develop over time, either on the part of the departed
one or on the part of outsiders?
What is the general policy for the industry you are in. Nuclear Research is
probably somewhat different that Plumbing.
What does you attorney say?
What is the *Written Policy* governing such events? While I have no basis
for saying this, it may be that "We remove everything" is sufficient, or it
may be that "We cannot remove anything". Depends on your specific
situation.

Hi,
When an employee leaves your company, how do you handle their domain
account
(delete, disable, etc) and how long do you keep their Exchange mailbox
around, and do you delete them at some point, or do something else with
it.
I would like to do some cleanup, and have a handful of unused mailboxes
left
over from employees that have been gone a while and aren't useful to
anyone,
but wasn't sure if I should just delete them or archive them in some way.
How do you handle these things?
Mike
