Re: Monitoring inbound faxes on shared fax SBS 2003

Hi Gregg & Costas,

Appreciate the suggestions, and yes they may work well in many
circumstances.
However, I have a few reasons why I'm looking for the "pop-up" notification
(and yes BTW Chris, we can monitor the server-received faxes using Fax
Console that installs from SBS Prem 2003 R2): [and: as I mentioned in the
OP, this is all about convenience - low priority]. Do note, we have a high
volume of fax/email/letters/phone calls - just the nature of our business.
1) When the email(ed) version of the fax is sent, it just adds to the 'daily
clutter' of inbound emails - all recipients would need to sort through the
messages, and unless you memorize the sender's fax number (the value looks
like this: "Fax server SBS received a new fax from 925825xxxx.").
Since we have one main person and a back-up designated to do this, they can
already see/check faxes w/o cluttering the emails. (Again using Fax
Console). Side note: we don't want to add this burden to all email-enabled
users (15+).
2) I'd rather not add to the (already lengthy) nightly backup storage
requirement this additional volume would generate.
3) When they've triaged the email in Fax Console, (often fax SPAM), they
delete it right there, which deletes it from the server hard drive folder.
Again, if we used email we'd probably have to manage two or three storage
locations.
4) Familiarity breeds contempt: if I reserve email forwarding of faxes for
actual important faxes as routed to the correct recipient, then they will
get more attention.if out of 50 daily faxes, of which maybe 3~4.

I can appreciate the email answer if there are only 3~4 people in an office,
and everyone has the ability/time to deal with messaging. For us, the fewer
persons involved, and reduced effort managing messaging (all forms) actually
can be translated directly into dollars saved - just let me tell you about
scanning - surprisingly _huge_ cost saving there. I'm just going down the
list of daily activities, prioritized by how much time is spent on them, and
trying to cut that time down. Faxes is one, and that's why SBS fax service
is so appealing (it's working great!). We're still trying to reap the
greatest benefit.

Anyway, thanks for the ideas and help, I suggest we close this topic for
now.

* PS * Looking at the _email_ inbound Subject line, got me to wondering if
could I intercept that with a server-side .NET/VBS utility to look up the
fax number (say from an Exchange list) and append the source clear-text
name?
And _then_ I could AUTOMAGICALLY route/manage the fax to the intended
recipient based on rules, server or client side.
-Or just purchase a big-time efax solution...nah.

Costas is correct. Keep in mind that the one email address can be a single
user or a distribution group. I have mine sent to a distribution group (in
my huge company of two people). That way, even if I am out of the office,
both I and my wife get an email telling us that there is a new fax.

Too cool.

Is there any particular reason you don't have the faxes routed to an
email address, in which case, the recipient will get the fax as soon as
it arrives?

First off, the send/receive of actual faxes works well enough. All users
can send faxes via the shared fax connected to SBS 2003 R2.

The desire, and which may indicate possible problem and/or "that's how
it works by design" is that one person (on a XP Pro workstation, patched
and up to date) be able to monitor _inbound_ faxes - which is now done
via the Fax Console main window. The difficulty with this, is that with
the Console minimized, since the console does not flash as other Windows
applications do when updates occur, the user has to remember to open and
check every so often, so that faxes are not ignored. (old workflow was
to glance at fax machine inbound box to see if there were any pages in
it). It's creating a certain 'nervous tick' behavior which is annoying.

On a laptop I have found the Fax Console Version 5.1, Build 2600,
Service Pack 2), and;
I'd think the Fax Monitor child window in the Fax Console would be the
way to address this - (note that having it always on top is also not a
practical solution.), I'm unable to configure this however, as the
options under Tools->Fax printer Configuration->Tracking(Tab) only shows
the local fax modem/devices under the "Please select the fax device to
monitor". This is strange, as the Fax Console _is_ showing the Shared
Fax Inbox, Sent Items etc. from the SBS server (that is server folder
content/queues is displayed in the main window.

Apparently Fax Console installed from the share FaxClient on SBS 2003
installs; Fax Console->Version 5.2 Build 3790.
This version does not have the above mentioned Tracking option (looks
like a step backwards), and so I am not be able to configure the
tracking option using the Fax Console installed from the server share.

So there are two issues:
1- Why does the 5.2 version have fewer options the XP SP2 ver 5.1?
(Are there separate build tracks, and I can get the XP version to
use on client PCs?)
2- Why does the 5.1 apparently not allow tracking of the server fax
device, only local, but does show the server in/out faxes?

Idea: Can a custom event be triggered from SBS via messenger to the
client PCs?

And last: Maybe there is a different solution I have not found after
checking the KBs, NGs etc?

Any ideas?
Thanks.
