Just a caution on "private" items from the Outlook CHM;
====
Important You should not rely on the Private feature to prevent all access
by other people to the details of an appointment, contact, or task. To make
sure that other people cannot read the item that you marked as private, do
not grant them Read permission to your Calendar, Contacts, or Tasks folder.
A person who is granted Read permission to access your folders could use
programmatic methods or other e-mail applications to view details in a
private item. Use the Private feature only when you share folders with
people you trust.

Most importantly, what is the reason for this access. Without knowing
the reason, it is hard to determine the best solution. A patient can
say "give me medicine XYZ", but self-diagnosis is not always the best
method.
Personally, I don't need everyone in my office to know my
mother-in-law's birthday, or when my dog needs her shots. Or when I
have to get my teeth cleaned, or see the proctologist.
Find the reason for the calendar access. If it is to forecast
availability for court, or staff coverage for different functions, you
may be better off using the sharepoint calendar or a shared calendar
via Outlook (easier for me). Double-posts may be required, but
privacy is maintained.
With a shared calendar maintained via Outlook, the calendar owner can
assign permissions. Not up to each user to configure the settings
whenever staff/users are added or lost.
Good point - but it's also important for the users to remember that the
company mail server is exactly that - the company mail server, and the
boss likely has the right to say "I want to see XY and Z" - and even say
whether or not users are permitted to put non-business items in their
mailbox calendars. The mailbox calendar is just so much more convenient to
use than a PF calendar or Sharepoint, honestly - via Outlook, OWA, or sync
to any sort of handheld.
Remember, also, that items marked "private" will not be visible to others.
So, your recurring Gamblers Anonymous meeting appointments can just look
like mysterious gray boxes to your co-workers.

Hi I have a client, a firm of solicitors with a sbs 2003 server with
outlook 2000 clients about 50 in 3 different offices the partner
wants all users to view each others calandars this will require
changing the mail box permissions and calandar permissions on each
users mail box to allow everone read access and then each mailbox
will need to be added to the folder list via advanced exchange
server properties in outlook. does anyone know of a way to do this
without actually going to each users pc and doing it, there must be
a way to add the permissions to each users mailbox remotely as the
administrator in exchange system manager and a way of remotely
updating the outlook folder tree. can anyone help or point me in the
right direction?
