Re: 'You replied on:' info in shared mailbox

Tech Tip: Click here to run a free scan for Windows Errors and optimize PC performance

Jenny,

I gave users 'send on behalf of' permissions for the mailbox.
Had a user reply to a test message, being sure to change the From field
to the actual user replying and not the source mailbox. However, it
still shows 'you replied on....' instead of the persons name.

Ideas?

Hi Nathan,

Thanks for your update.

When we set "Send on be behalf" permissions, the "xxxx send on behalf:"
information will be shown on the shared mailbox, the xxxx is the user who
actually send the mail.

And I have reported your concern to the development team and hope they can
improve the function.

In addition, it is also recommended that you send your suggestions
directly. Please refer to the following steps to do so:

1. Open your Office product (Outlook, Word or other applications), and
click Help -> Contact Us to reach our Office Online contact web site.
2. You can then use the "Make a Suggestion" link on this web page to submit
any suggestion and this will post their suggestion to the "Microsoft
Community". Our Product Group reviews the suggestions submitted by our
customers. Your feedback is very valuable for us.

For your convenience, I have listed the link as below:

Jenny,

Thanks for the reply.

I'll give that a shot, and see how it goes. Maybe it'll show in the
group mailboxes 'Sent Items' folder who actually replied? Probably not.

Would be an excellent product enhancement though.

Hi Nathan,

Thanks for using the SBS newsgroup. I am glad to work with you again-).

From your description, I understand that you want to know if the "You
replied on:" information on a shared mailbox can be changed to "xxxx
replied on:". If I am off base, please don't hesitate to let me know.

Based on my research, it is by design behavior. Exchange Server

considers

this as a "Send As" scenario and deletes the original message property

that

contains User's information. Therefore, the message appears to have been
sent directly from shared mailbox owner. So the info is showed as "You
replied on:"

If you want to know the exact information about who replied to the

message,

we can grant Send on behalf permissions on the shared mailbox. In this

way,

the "xxxx send on behalf:" information will be shown on the shared

mailbox.

You can refer to the following steps:

Grant "Send on behalf" permissions
======================
If you grant a user "Send on behalf" permissions for another user's
mailbox, that user can send mail on behalf of the mailbox owner. The

name

in the From box of these messages appears as:

From: DelegateUser on behalf of MailboxOwner

where DelegateUser is the name of the user to whom you granted "Send on
behalf" permissions and where MailboxOwner is the name of the user who

owns

the mailbox. There are two ways to grant a user "Send on behalf"
permissions.

Method 1: To grant a user "Send on behalf" permissions for another

user's

mailbox on the server, follow these steps:
========================

1. Click Start , point to Programs , point to Administrative Tools , and
then click Active Directory Users and Computers.
2. In the console tree, click Users .
3. In the right pane, right-click the mailbox of MailboxOwner , and then
click Properties .
4. Click the Exchange General tab, and then click Delivery Options .
5. Under Send on behalf, click Add .
6. Type the name of the DelegateUser , click Check Names to verify the
name, and then click OK .
7. Click OK , and then click OK .
8. Quit Active Directory Users and Computers.

Method 2: To grant a user "Send on behalf" permissions for another

user's

mailbox on the client, follow these steps.
========================

1. Start Outlook.
2. On the Tools menu, click Options.
3. Click the Delegates tab, and click Add.
4. Select a user from the global address list, click Add, and then click
OK.
5. In the permission lists for Calendar and Tasks, click None.
6. Click OK two times.

For example, if you grant UserB "Send on behalf" permissions to UserA's
mailbox, UserB can send messages on behalf of UserA. The From box in

these

messages appears as follows:
From: UserB on behalf of UserA

Hope above information helps. I am happy to be of assistance to you and
look forward to your reply.

Have a nice day!

Sincerely,

Jenny Wu

Created a shared mailbox for the sales team.
Users can open the mailbox and see when something has been read, and
replied to.
However, when they view a replied to message, it says 'You replied on
_____' instead of saying 'John Doe replied on _____'. Is this correct?
Is there any way to have it show who actually replied to the message?

Thanks
