Thanks for your detailed updates.
As I know, the function I referred to is what you want, it will help you
archive all message and store it on a local disk as a PST file while the
old message will be remove from your Exchange mailbox.

| I have a FAX server that takes incoming faxes and stores them in a
| mailbox called FAXES, that user account has rules that I created in
| Outlook 2003 that move the faxes (based on Caller ID) number to folders
| (mail) under the INBOX (we created a tree with one folder per customer).
