RE: How to manage sharepoint fax documents

Tech-Archive recommends: Fix windows errors by optimizing your registry

Hello Martin,

Thank you for posting in the SBS newsgroup.

>> (a) Delete old faxes manually?
Yes, we can manually delete these old faxes, to do so, access the
Companyweb website by using http://companyweb or http://SBSFQDN:444 link,
click "Incoming Faxes" under Documents node on the right panel, right-click
the appropriate fax documents and select "Delete" to delete them.

Note: After we configured the FAX wizard to route the incoming FAX to the
Companyweb site, the incoming Faxes will be stored in the 'Incoming Faxes'
document library in Companyweb site. The permission of the particular
location is controlled by Companyweb site.

By default, if we create the users by using the SBS 'add users wizard' and
apply the user template, the users will be added into the Companyweb site
as 'Web designer'. The web designer role has the permission to view,
insert, edit, delete and change the contents in 'Incoming library'.

You can modify the permissions in document library settings. Logon the
server or a workstation with the administrator's privilege. Open Internet
Explorer and input http://Companyweb. Click 'Documents and Lists' and then
'Incoming Faxes'. In the document library, click 'Modify settings and
columns'. Click 'Change permissions for this document library'. Click 'Add
Users' button. Add the particular users (receptionist and administrator)
and assign full permissions to these users. Check the box of 'Web Designer'
and click 'Edit Permissions of Selected Users'. Change the permission to
'View items'.

>> (b) Set automatic deletion dates?

Unfortunately, we cannot set automatic deletion dates for Incoming Faxes
documents; this feature does not exist in the current version of
SharePoint. I understand that this limitations may inconvenience our users
and we apologize for the inconvenience you faced. In our efforts to
continue to improve our products, you are welcome to add your suggestions
to make Microsoft products easier and more powerful to use, by writing in:

>> (c) Change the default view to show most recent faxes on top of the list?

Yes, we can change the default view to show most recent faxes on top of the
list. To do so, access the Companyweb website by using http://companyweb or
http://SBSFQDN:444 link, click "Incoming Faxes" under Documents node on the
right panel, click "Modify settings and columns" in right panel, click
"Change the order of the fields" under Columns, then choose "1" position
from top for "Receive Time", then click OK.
