According to your description, I understand that you would like to
configure a certain email address be sent to a specific file on the
Companyweb. If I have misunderstood your concern, please don't hesitate to
let me know.
In reference to your question, please refer to the below information:
Configuring E-mail Enabled Document Libraries
Windows SharePoint Services includes the ability to link a document library
with a public folder based on Microsoft Exchange 2000 or later. Any
documents attached to messages in the public folder can be automatically
inserted into the document library, and the document library displays the
document, plus the From address, the subject line, and the date each
document was sent to the public folder. Note that the body text of the
e-mail message is not preserved. It remains in the public folder and is not
transferred to the document library.
A user can simply send e-mail to the public folder, with an attached
document, and the document will be automatically added to the correct
document library on a Windows SharePoint Services site. For example, if you
are using an XML template to store invoice information, a user can fill out
the XML invoice and e-mail it to the public folder, and the XML file is
then posted to the document library. It is then available for rolling up
into larger reports on invoices, or for easy retrieval.
I. Managing the Public Folder
You must configure the Exchange public folder to work with Windows
SharePoint Services before you can enable this feature. After you configure
the feature, you must continue to perform the public folder administration
tasks from within Exchange.
To use this feature, you must use the Exchange Administration tools to:
1. Create the public folder.
2. Grant read access to the appropriate SharePoint Team Services
application pool accounts. If you are using one account for all virtual
servers, grant that account access. If you are using separate accounts for
each virtual server, you must grant the virtual server accounts access to
the appropriate public folders.
If you prefer not to grant access to the application pool accounts, you can
instead give the anonymous user account access to read the public folder.
This is a less secure method than granting access to the application pool
account.
3. Determine which e-mail distribution list to allow to post to the
public folder, and grant the DL appropriate access to the public folder.
4. Continue to manage the public folder and the access to the public
folder.
II. Enabling E-Mail Access to Document Libraries
To enable this feature, you must be a local server administrator, or a
member of the SharePoint Administrators group. Enable this feature by
entering an Exchange server name in the Virtual Server General Settings
page. If you no longer want to use this feature, you can disable it by
deleting the Exchange server name. After you have enabled this feature for
a virtual server, any administrator of a site on that virtual server can
enable the feature for a document library in his/her site.
Only new attachments are added to the document library. This feature will
not crawl through previous posts in a public folder and upload all
attachments; it will only grab attachments added after the feature was
enabled.
III. Configure a Virtual Server to Allow E-Mail-Enabled Document Libraries
Click Start, select Administrative Tools, and then click SharePoint Central
Administration.
Under Virtual Server Configuration, click Configure virtual server
settings.
On the Virtual Server List page, select the virtual server you want to use.
On the Virtual Server Settings page, under Virtual Server Management, click
Virtual Server General Settings.
In the E-Mail Enabled Document Libraries section, select Yes next to
Document libraries on this virtual server can accept
e-mail attachments.
In the Public folder server and root path: box, type the Exchange server
name that hosts the public folders.
Example: http://SBSserver/public
Select one of the options in the Check for new e-mail in the public folder:
section. The following options are available:
Every __ Minutes - Specify in minutes how often attachments are downloaded.
Hourly - Specify how many minutes past the hour that attachments are
downloaded.
Daily - Specify a timeframe during the day to download attachments.
Note: To see the feature work without having to wait an hour, select Every
5 Minutes.
Click OK.
If this feature has been enabled at the virtual server level, any
administrator (or other user with the Manage Lists right) of any site on
that virtual server can configure a document library to link to a public
folder.
IV. Configure a Document Library to Allow E-Mail Insertion
Navigate to the document library you want to use. You can either create a
new document library or use an existing one.
Under Actions, click Modify Settings and Columns.
Under General Settings, click Change Advanced Settings.
On the Document Library Advanced Settings page, under E-Mail Settings, in
the Public folder path box, enter the path to the Exchange public folder
you want to link to.
Example: The portion of the URL that was specified in the virtual server
general settings page will be listed. You will only need to fill in the
specific public folder. So, if the folder is called HR and is directly
under the path http://SBSserver/public, you would type HR into the box and
click OK.
Click OK.
