Windows 2003 Backup problem

Hi,
I am trying to use the windows Backup utility in windows 2003 server
and i want that open files should also be backed up.
I am backing up a file from a different machine on the network. when i
run the backup, the log says this:
backup completed with files skipped becuase 'The document '----' is in
use by another application and cannot be accessed'
what should i do? please advise.
FYI:
when i try to open the same document from windows explorer, using 'My
Network places', i get the same message

if the files is closed, i am able to open and backup successfully.
