Re: Message Rules for Filing and Deleting

It would probably be easier to keep the current address for your mailing lists and get a new one for regular e-mail. I know most people don't like to change their primary address if possible, but if you did it this way, you wouldn't have to worry about creating 54 new folders and rules. Just uncheck Leave a message on the server for the current address and check it for the new one. Your options are getting slimmer to do what you want.

Yes, that IS the other option. I can have unlimited email addresses, actually. But it's not as easy as just setting a rule. I have to maintain the account setting in OE, the account setting on my ISP, and the message rule as well.

As I mentioned in another post that is 54 rules, 54 mailboxes, 54 OE accounts, should I choose to manage it that way.

Also, I do have most of them set up to go to maillist(at)wjm.org and newegg(at)wjm.org, but not all of them. I would have to go to each source and update my account with a new email address. This technique would only work on messages I could filter by recipient address -- not sender address or subject line, etc. What a hassle when I thought I could just Copy a rule and set it to Delete from server.

Are you allowed multiple e-mail addresses from your ISP? If you are, (I can have up to seven at no extra charge), I would get a new address to use just for MyMailList, and set that not to leave a copy on the server. You can set it up so it's in the same folder tree and not need to switch identities unless you want to.

That's the only other option I can think of, but keep checking this post. There maybe someone out there with something I have not thought of.

Atually, no it still didn't remove the message from the server.

Once the message is download, apparently OE will not remove it from the server (until the appointed time in the Advanced options for the account).

Bill:

Using the rules the way you have them set up, try this. After the messages are downloaded, go to Tools | Message Rules and click: Apply Now for the rule to Delete it from the server. It's not *automatic* but it should work.

Also, with the amount of mail you receive, and delete, you should compact your folders more frequently than the average user.

Click on Outlook Express at the top of the folder tree so no folders are open. Then: File>Work Offline (or double click Working Online in the Status Bar).
File>Folder>Compact all folders. Don't touch anything until the compacting is completed.

Bruce,

I'm afraid as nonsensical as it is, you're right. I deleted the "Move" rule and processed with simply the "Delete it from server" rule... and the messages are still there. :(

Bruce,

This seems a little strange.

Why have a message rule action "Delete it from server" when

a) The message will always be deleted anyway (because you do *not* have the "Leave a copy of messages on server" option selected )

b) The message will never be deleted anyway (because you *do* have the "Leave a copy of messages on server" option selected )

If you choose Delete it from server, you will never see them. If you download them and then delete them, they will be downloaded again the next time you check for messages because you are set to keep a copy on the server. I don't think there is any way to do what you want.

Well, yes...

I'll elaborate a little more:

I specify in the POP3 account Advanced settings to keep my last 10 days of email on the server. This way I can easily use my cell phone or a web browser to check in from any location for a recent "important" message, and to ensure the messages aren't immediately removed if I am away from the computer while Outlook Express is still up. I don't want to change this behavior.

This mailing list, however, is taking up an undue amount of space, and they are almost never "important" so I want the messages zapped immediately after I download and file them.

I would think that "Delete it from server" would have the effect of doing so.

Hello,

I subscribe to a high-volume discussion list. I would like to have the
messages for that list downloaded to my local folder and then removed
from the mail server.

You don't need a rule to do this.
Outlook Express does that by default if you are using POP mail. It only
keeps a copy on the server if you expressly (ha! ha!) tell it to in Advanced
Server Options.

Hello,

I subscribe to a high-volume discussion list. I would like to have the

the mail server.

I have the following rules set up:

Rule 1: MyMailList

Apply this rule after the message arrives
Where the From line contains 'mymaillist.com'
Move it to the MyMailList folder

Rule 2: Copy of MyMailList

Apply this rule after the message arrives
Where the From line contains 'mymaillist.com'
Delete it from server

The rules are indeed set up in this order, MyMailList is just before Copy of
MyMailList. When mail comes in, the messages from 'mymaillist.com' are moved
to the MyMailList folder. However, they remain on the server. (As if rule #2
was not processed.)

What am I doing wrong/what is the right way to do this?

Thanks,
Bill
