Apparent Duplicated entries on Hard Drive

People say to me that I use far too much memory for the programs I have on my
Hard Drive. I defrag etc regularly using Norton System works. I have approx
9.5gb used whereas a friend who has many more programs on his computer than
I, uses only about 5gb of memory. Have noticed that when I look in Windows
Explorer "My Documents" and all it's contents appear to be duplicated about 4
times in various folders throughout the memory. I wonder if these are just
short cuts or are things being saved more than once?
I can get more specific about locations of duplicated memory etc but before
I do, has anybody any ideas please?
