"copy being used by.."

When I open my email docs sometimes i get the
error.."copy being used by John..do you want to make a
copy" I also frequently can not update my palm pilot
because it can not find me as a user. I believe I did
not set up my Win Xp correctly...I am the only user and I
am an administrator. Any ideas?
