Yes the online form validates the address using Royal Mail paf file then
calculates the distance using MapPoint

What is a "Royal Mail paf file"?

The example you gave are not valid address:
Collection address = 20, HA1 3RT
Destination address = 333, W10 6RA
Thus, MapPoint couldn't map them.

All this because of 1 client who insists in sending email instead of
filling
our form.

What volume are you talking about? One email a day, a week?
Why not just enter their email data into your online form rather
than go to the effort to develop a custom solution which requires
testing, documentation, as well as maintenance?

I was asking you to forward me one or two of the actual emails that you
would receive so I could identify additional questions or approaches.

Q. How would you handle missing data?

Q. Does the "online booking interface" insert records into a db?
