Somehow I have come up with multiple Personal Folders (2) and both
seem to be active since I can't close or rename either.

The archive folders point to different locations and I can close or
rename either.

How did I manage to do this and how can I simplify it?

It's hard to say how you managed to do it, since we weren't watching what you did and you haven't explained what you were doing, but it's possible to tell you how to fix it if you'll first tell us what version of Outlook you use.
