RE: Consolidating messages from one sender

Hi Majik,

You can Create a Rule that will sort the items that meet the rule's criteria
into a Folder. It's probably most convenient to do this upon receipt of the
next message from the sender. In your list of messages, right click on the
message, select "Create Rule" and for best results click Advanced, then walk
through the Wizard to set up your rule.

You will be given the opportunity to run the rule on all messages when
exiting the wizard. If your inbox is large, this could take a while. It's a
good idea to test this out on one mail item, and see if it performs the way
you want, before setting up a ton of rules. Learn by doing.

You could create a separate rule for all the different sender ID's in use by
Mr. Jones, or you could create one rule that sniffs out all of Mr. Jones
sender ID's. I am not sure about the "best practice" on this, and would
appreciate if an expert on the forum could address this.

You can run the rule automatically on all incoming mail in real time.

You can also one or more rules "on demand" by following the sequence under
the Tools menu for Organize or Rules.

The solution of using folders to group disparate sender IDs from the same
sender or category of senders has been very helpful to me. I hope it
addresses your problem adequately, as well.

Using both Outlook 2003 and 2007, Outlook is giving up to 4 different Sender
identifications for a single sender. Given the amount of traffic with
certain emailers, this makes it very difficult to sort and find messages from
them. For instance, in corresponding with ONE person using ONE email address
(let's say JohnsConsulting@xxxxxxxxxxx), when I receive their messages,
Outlook may show one of four formats for the sender's name, all alphabetized
and sorted by Outlook in separate groupings:
John Smith@xxxxxxxxxxx
Smith John@xxxxxxxxxxx
'John Smith'@generic.com
JohnsConsulting@xxxxxxxxxxx

Given the hundreds of emails we exchange each month, it's aggrevating to try
and sort messages. I have to sort through all 4 groupings of emails to find
the one I need. Is there a way to consolidate all these emails under one
group for that particular sender, i.e., having all messages show up as
messages from John Smith@xxxxxxxxxxx
.
