The issue lies with your mail server ... you can only have 1 account login
at the same time, so if you and a colleague check for email, the first one
logged onto the mailserver wins ;-) The second person gets the popup
(because the server does not allow the same UserID to logon twice).

If it's a company mailserver, check with the administrator to get more
concurrent logons, if it's you ISP, you could try the same but I would be
surprised if they allow that.
