User Defined Fields in Item & Folder

Having Googled for this I can see the same question has been asked before
but what is the simple solution to adding "user defined fields in item" to
the "user defined fields in folder" so that may data is prserved and
enabling me to define views based on my custom fields and also use them in
mail merges.
Maybe I am not taking enough time to digest the previous posts on this issue
as I am finding it very confusing.
