Buy Enterprise version of Exchange. (I guess not an option with SBS?)
Impose mailbox size limits and force users to clean up their mailboxes - ie
delete mail
Use PST's to archive old data. But PST's are bad for various reasons, but
are reasonably your best option.
- You may not want them on the network (Microsoft doesn't support PST over
network connection)
- They are not secure
- the hold company relevant mail and are not backed up (if on C drive)
- and if they are backed up (ie they are on the network) are expensive, that
is a 1kb addition to the 500MB pst file means that the entire 500MB has to
be backed up. Chews up tapes and causes the backup window to lengthen.
- it less efficient storage - no single instance storage of messages
- more prone to corruption
- 2Gb limit if using non-Outlook 2003
So what do you do?
Some of the concerns about PST may or may not be relevant So that is
probably the best option. But look seriously at all the costs and hassles of
PST's.
Other things to consider:
Third party archiving software (if you have the budget for more software and
hardware).
Monitor your store size. You still are approx one third of the way to
filling the store.
A new server and migrating half the users to the new server - effectively
doubling your store size. Again not sure if this an option with SBS.
Delete and purge any users that have left the company. Small maybe, but it
all helps.
Lower the recover items retention period so that when email is deleted from
a mailbox it doesn't stay for a week. It can be surprising how much is held
here. Of course this has major implications for the ability to restore the
boss email when they accidentally delete that request for a new server.
Finally, I thought it was 16GB limit not 15gb. If so you have already gained
another 1Gb without having to do anything.
