Re: message archiving....

Ed,

First off, Thanks. It is always nice to hear from those that have tons and
tons of experience.

The concern is not the size of the Information Store or the size of
individual mail boxes. The concern is that the Inbox (when using Outlook
2003 to view it) for a couple of the users is quite "large" and it takes a
little bit of time for them to find the item for which they are searching.
They are thinking that "archiving" would be the way to go.

I did see several products (like the package from Quest ) that do not seem
all that expensive ($15-$30/mailbox). However, that might be a bit too
complicated for such a small environment. I am going to play with some of
these products and see what they do (most, if not all, of the applications
that I saw on-line offer a demo version).

I think that you might have hit the nail on the head with the "new folders".
Most of these users do have multiple sub-folders (and the accompanying
rules...) but we might be able to do a bit more with this. Just maybe.

Again, Thanks!

There are lots of archiving products but they're probably too costly and
complicated for a 15-user environment. So, you're going to have to make
the best use of the tools you have at hand, new folders in the mailbox,
public folders, PST files, or additional mailboxes.

One thing you can do is show the user how to copy attachments from
messages and store them on a file share. That by itself will go a long
way to reducing the size of the mailbox.

Good afternoon!

I have searched the Internet and am looking for some advice on the
following situation:

We have a client that is interested in some soft of archiving. However,
it is not because of any laws. It is not because of a hard drive space
issue. It is because in Outlook (Outlook 2003) their Inbox is super full
and it takes a while to find things (the manual way....please do not
suggest that I show them how to make efficient use of searches....thank
you!). I have thought about using Views but that might cause confusion
for them. So, that is not on the table - right now. I have thought
about Auto Archiving but am not too interested in that for this
'problem'. So, that is not on the table - right now. And, probably will
not.

What they envision would be to have some sort of "archiving" solution
where all of the e-mails from the last six months (pick the time
frame...this is what they are thinking) show up in their Inbox (and in
any sub folders of the Inbox) while anything prior to that time frame
would be archived - yet available and searchable should the need arise.
Obviously, Message Journaling is not appropriate for what they envision.

Currently we are running Windows Server 2003 SP1 and Exchange Server 2003
SP2 (on the same box) but have a second server that just arrived (Windows
Server 2003 R2 x64) that is a Domain Controller and will become the
Exchange Server (once Exchange 2007 comes out). There are only 15 users
in this environment and the mailboxes are not too terribly large.

I appreciate your help.

Thank you,

Cary
