Re: Auto e-mail copy



My best guess is that this won't last long - he'll be spending every waking
moment reading a deluge of e-mails. Anyway, I'd do it with a Message
Archive:

- Create a public folder with carefully set permissions. Make sure that
ordinary users can not view the folder - I'd test this to be sure because
something unpleasant is sure to happen if everyone can read everyone else's
e-mails. Give the VP whatever rights you choose.
- In ESM, r-click your Private Information Store. Click properties, and on
the first page, check the archive box and point it to the public folder.
- After a few minutes or an hour, check the folder to make sure messages are
appearing there.
- Have the VP access the messages in the public folder rather than in his
own Inbox.

I would also discuss with him the option of using limits on the PF to
automatically delete items over X number of days or months old. Otherwise,
the folder will have to be very closely monitored for size and number of
items, and you'll probably have to move items to other archives or out of
the Exchange databases. Even if you allow for the possibility that
single-instance storage mitigates the size of this file, it'll be impossible
to search or sort, and you may have issues with the folder's contents taking
a very long time to display.

IMO he is ethically required to notify users of this. I have included in my
written and verbal computer use policy that mailbox contents are the
property of the firm, and can be read by management at will. We generally
don't read them in the absence of a very good reason for doing so, but
everyone knows that the possibility exists.
